We have been on Docutrak for some time now and the storage requirements for all the scanned images is getting a little out of control. Has anyone tried archiving old pdfs to another location? I'd be interested to hear any policies or provider feedback you may have.

The problem you will have with archiving is that you will break all the links to the files in the database. We have successfully moved all the files (was actually the Midmark .CAR files) to a new location and updated with a sql statement all the relevant links in the appropriate database table. You have to update the moniker field in the extreferences table.
you don't actually need to archive old images. if you want you just need " in case to add a new server and setup the link in docutrak, midmark, indexlgic or any other service you have running to point to the new server" This way nothing need to be moved out of the old server".
another choice is just to use another software for scanning. In my case we use Adobe acrobat capture with compress and security agent. This help a lot, our pdf attachment come to about 25k-40k per page on a 250 dpi full page b/w pdf.

Since we are on this topic (Sorry I know it is old) I would like to ask a somewhat related question or two. Part I. I would like to find a utility which ferrets through the \\server\documents$ directory and shrink the .pdf files kind of like VRS's capabilities. I.e., delete blank pages, despeckle, deskew, and make smaller without losing quality. This optimization should be able to be done once the data is on the ConnectIQ server. Part II. OCR. I would love it if all of the documents were readable. This takes more time to do on the workstation end and I know it would make the pdf increase in size but I would be willing to accept that tradeoff. In troubleshooting some missing documents after our CPS 10 upgrade, this capability could have come in handy as I had to look for a number of documents to prove to GE that there was actually a problem which I think was DTS related. We also use Adobe Capture for scanning, but need to replace the scanning computers with new Windows 7 computers. Since Adobe Capture has been discontinued, we're looking for something different, but haven't had much luck. I haven't been able to find any software that keeps everything in one place like Capture does (being able to change all the settings and switch workflows without opening new windows or changing tabs). Have you had to replace Adobe Capture yet?

We switched to ScandAll Pro quite a while ago and have no regrets. it is a much better tool to get the scans and it comes with the Fujitsu scanners. I would also recommend installing VRS which come with the Scandall Pro
Putting aside other document management systems and automated indexing... does anyone have experience with scanning in ConnectIQ/Docutrak/Document Management - Indexing Client vs. scanning in something else like Adobe Capture, ScandAll, whatevers included with scanner etc. and then indexing separately?
I've only used the indexing client but I see these other tools mentioned. I'm wondering how they compare?

in the past i was able to test the scandall, but is not as simple and straight forward as Adobe Capture. i had been unable to find one that have the same capabilities while maintaining the simplicity of adobe capture.

Oh, I agree that it isn't as easy as Adobe Capture but we started hiring smarter people to do the scanning and embraced a scanning standard which law firms developed and used as a risk management measure using the VRS software. Let me tell you, the helpdesk welcomed the relief as well. We used to get calls from scanners being uplugged (translation-they didn't have to do any work until it was fixed...Gee, I wonder who unplugged them). It is well worth the effort to have the right people doing the scanning because it is a possible liability if the documents are otherwise unreadable and you have shredded the originals.
