Does anyone have any info about the Actionable reminder folder in CPS12? Are we supposed to add all our reminder letters to this folder?
Thanks, Jude
We are in discussion with our VAR on our upgrade to CPS 12.
I asked about this recently, and was told that it will work like this…
I am a little fuzzy on details, as I have not been able to play around with any of this yet…
Put all patient reminder letters into the Enterprise / Actionable folder.
Actionable must be defined directly under Enterprise.
Then to have it count towards MU, must go to the Reports and run an Inquiry to pull up the patient(s) you want to send one of these letters to.
I believe there is a print option on the Inquiry screen – but since I have not seen CPS 12 yet, I am not sure of the layout. Pick on [Print], then should be able to choose one of the letters from Enterprise / Actionable.
If done this way, it counts towards MU (will be recorded in a database table that tracks meaningful use).
I was told if we just print a letter from the [Print] menu button, that it will NOT count towards MU.
Thanks so much
I currently have CPS12 in our test environment. After I ran the report I got the same print button that we have now in CPS10. When you click on it, it only opens printers, hmm. I don't see any button that would connect you to the Actionable folder.
OK, I am on EMR and have not yet upgraded, but perhaps I can add a little from what I have seen and read...
If you are in DESKTOP view, and hit PRINT, then you will only see a few things to print (and not letters). However, if you click into a chart/patient record and then hit PRINT, you will see the list of folders.
From the tutorials, it did seem like ACTIONABLE needed to be a top level folder under ENTERPRISE. And, all of your letters to count for MU should be in this folder.
Unclear on what will count towards MU when you print a letter. Since the reporting is not yet built/released, no way to test. However, printing a single letter manually out, or as a batch (inquiry then report), would both write a record to the patient chart as a document. Thus, one might think that either would count since both create the same end result. Inquiry to Report option currently exists, and from what I have seen from my use is not different than printing the letters one-at-a-time; in other words, does not appear to mark letters with an OBS code or any other track-able marking.
I have a question about the letters as well, when I use Inquiry >Send reminder > Actionable folder. At the bottom left there is a drop down for Send reminder using _. The only thing in the drop down is Printed letter. I would like to send these using Secure Messaging, but it makes you print a paper copy. Has anyone figure this out?
Thanks,
Steph B
Steph,
where do you find Inquiry >Send reminder > Actionable folder? under reports? I don't seem to see Inquiry in our CPS12 test environment.
Thanks, Jude
Note: I have not had a chance to see this section yet, as I am not on CPS 12.
This is what I would suggest though…
Go to Administration and edit Letter Templates.
If you do not see an "Actionable" folder under "Enterprise", you will need to create it.
Then move (or copy) all your MU Letters (patient reminders) into the Actionable folder.
Then go back to chart, click on Reports, select "Inquiry" tab.
Create (or run) an Inquiry that pulls up patient names you want to send a reminder to.
See if the "Send Reminder" now shows a dropdown list of the MU Letters.

The Inquiry is with the chart reports (bottom left on desktop).
Beverly, I have the reminder letter set up under the actionable folder, but it seems you should be able to choose to send the reminder by Secure Messaging and the only option is print. I understand I can save the letter to the chart and use ACM to send the letter but it still forces me to physically print the letter. Why do I need to print and waste paper if I am using Secure Messaging?
Yes I don't see secure messaging, I was wondering the same.
Also, it seems like we have to highlight each patient and send reminder, I am wondering if we can send the reminder to all the patients that the report pulled instead of doing it one by one? Thanks
Has anyone figured out the secure messaging piece of the puzzle yet?

The below is from a GE workflow document. According to this basically if you don't do it by letter it won't count. I'm not sure how they can say that this meets the requirement since the measure states you are supposed to contact the patient by their preferred contact by and only when the patient has not specified is when you can select one.
Workflow #9: Producing Patient Reminders (Stage 1 Menu Measure 4, Stage 2 Core Measure 11)
Key Considerations
- The following must be done by the provider: Does the copy of the letter in the chart need to be signed by the EP?
- CPS12/EMR 9.8 cannot produce a list of patient due a vaccination or immunization
- Generating letters from the inquiry module occurs one at a time and cannot be stopped once started
- Measure is counted for patients with a Contact by: value of Letter

Configuration
- Letters to be used for this purpose should be placed in a new folder with the word “Actionable”
- Security Permission required for persons doing this action
- Clinical Inquiries/Reports>Print reminders for patients. This setting defaults ON after upgrade. Need to remove this permission from users or groups you do not wish to print reminders
- New data symbol PATIENT.CONTACTBY can be added to letters, banners or other customizations
