We would like to see what other PM users are doing about scanning for PM. When we first came up on CPS, GE instructed us to use the paperclip and scan whatever to registration, ticket, payment batch, etc. So that's what we did. Well, 3 years later, our database is grow by leaps and bounds to where our backup isn't always finishing in 12 hours.
We brought up document management and have been using it for scanning into the patient's chart, which works fine. We have been looking at it for PM scanning and when we showed the managers what the workflow would probably be, they said absolutely not. So we would like to know what other clinics are using for scanning for PM documents such as correspondence (appeals, etc), ins EOBs for payments that have to be manually posted, etc.

Hi Linda, we had the same issue. We used the paperclip for many years to scan in financial information only, like Drivers License, Primary and secondary insurance info, Consents, Signed Profile etc. We did not scan any payment info via the registration paperclip. That info was scanned into the paperclip in the billing module.
A few years ago, the DM button and the Scan into DM button was added in registration, just below the paperclip. Our front office staff now scans all financial info into the DM button. Of course it took a little bit to get everyone setup on DM, but the workflow is no different then when they scanned into the paperclip. I know it saved our database from growing too fast.

I usually create a custom database, but embedded into the PM system. So nothing changes, however it doesn't touch your GE database. You must have a file server, and the custom database will store the file and patientid and the custom java query will display it on the PM side of things. Sibylle - to see the scanned document, your staff have to click on the document management button, correct? The managers like being able to click on the paperclip to see the document for that particular ticket and it didn't seem to be the way it was going to be. What we understood, was that, potentially, if the documents are scanned to the patient, then you could eventually have a lot of documents for any given pt to then have to sort through to find the one you want. Is that what you have found?

Ideal Image from Quatris is an awesome PM scanning solution. It puts a folder tree right in PM where you can store and easily click on EOB's, statements, etc. Email me and I will give you the contact information.
We us Document Management by Kryptiq now Surescripts. But I have a few question, How big is your Database? There are also some options to export older images to disk. GE has a tool.
Bovie, our database is at 1.8 TB. When you say that GE has a tool to export older images to disk, do you have any information on that?

You can get it from them. It downloads the images and exports them into the file system with a folder for each patient ID. Then changes the database to show the image was exported so people know where to look. I'd highly recommend giving Document Management a try or one of the other tools that replaces the use of the paperclip though or the export will only be a bandaid fix and the database will grow again. You can see how big your patient profile attachment table is to see how much space you can save.
