Good Morning Everyone,
I hope to see everyone at Centricity Live in a couple of weeks.
We are looking to see how some of you are handling collections within Centricity. We wanted to change the status of a ticket to a custom tracking system for us, but we can’t add new status options in the ticketing system. How does everyone track collections and knowing when it was sent to an agency.
Thank you so much in advance and look forward to your response.
Thank You,
Mario
Hi Mario,
Unfortunately, we have not been able to find a viable way to track these in Centricity either. We do all our "follow ups" on patient collections manually, using reports from Centricity. It would be nice if they had a tickler system that would allow you to set dates for follow ups based on conversations with patients about balances, when payments were promised/due, etc.
I would be interested in hearing any other options other users have.
You can build custom collection sub-statuses and set the next contact date to use as a tickler file. You can also use Task Management to assist in the followup.
Workflow would generally be: Patient gets 3 statements, collection letters, phone calls, etc. All activities are documented in the Corr Notes because you can run a report on those. Once account is considered ready to turn over to a collection agency, the amount is written off with the Bad Debt or Collection Agency adjustment type so it's off your AR. When you get a collection agency payment, the amount is adjusted back on and posted with a collection agency payment type.
NOTE: Collection Letters can easily be customized to match your process and desired format.
Also, there are several vendors that have awesome automated collection solutions. email me if you want the contact info with some ideas. [email protected]
