I have document types that we're not using in the EMR. I removed the document types and even mapped our scanning application to the current/updated document types in the EMR so everything looks good. However in the patient's document list under 'All' I'm still getting extra folders we don't want in there.
In the administration section I found where the document view lives however when I try to uncheck some of the extras we don't want for the global list for all document types it's giving me an error saying "Cannot change the global document view named All"
I can change this All view for individual users but it wont work in the global list, any way to get this to work without the tediousness of changing it for each individual user and then having to remember to do this for new users in the future? I feel like there should be an easier way.
Thanks for your help!
Document views are a bit tricky. You can't change the All view.
There are both desktop document views and chart document views. They are independent of each other.
You create new chart document views under Charts > Chart > Document Views. In the show document view for, select "Global List." We generally create views based on role, and occasionally a group of related encounter types as needed. Providers have a different view than billing for example.
You create desktop document views under Charts > Desktop Document Views. We have not customized this at all, so everyone gets the All view in this case.
You assign both desktop and chart document views under System > User and Resource Management > Users > Preferences > User Preferences.
We create preference groups (provider, clinical staff, check in/out) under System > User and Resource Management > Users > Preferences > User Preference Groups and assign views (among other preferences) to the groups. It's optional but I recommend it.
It gets one step more complicated. As soon as a user customizes their document view (Options > Organize Documents), they now have a personal view. No change you make will change their view unless you reassign a global view to the user, or make the same change to their personal view. I don't believe there is a report that shows users that have customized their view, but I could be wrong on that.
It's been quite some time since I've messed with views, so I could have some details off here, but generally I think it's pretty accurate.
This is an excellent answer though it doesn't tell me how to get rid of views. Currently that "All" document view includes a bunch of stuff we don't want users to see (example clinical summary). I cannot uncheck that and save it for global list 'All' document view. Doing your instructions above is great to add customized views, but that doesn't override the "All" that everyone gets. I even tried to create a custom one with only 1 item checked and added it to a specific user in DEV and she didn't see the customized list I assigned her, she was still getting the "All" list in the documents section of the application.
Even when assigning the new customized document view I made to a group of users (role) I cannot remove the "All" access they have and replace it with the customized view I made, I can only add the view I made to which they now have the custom one that has only a few checked off and that "All" thus they still have access and can see all the folders.
When I try to remove the "All" preferred view for the role group in the user preferences it's telling me I cannot remove the global document view named All.
Thanks for any help!
As SLHV said, you can't change the All view. It is the system default view and you can't edit or remove it or keep users from accessing it. When you created a new custom view, did your DEV user go into Preferences, Chart, Documents and add the new View to the list of Preferred Views? Or did you add it to the Enterprise's list of Preferred Views?
Yes I did that in the administration and added the custom as a preferred view but the group has preferred views as "All" and the Custom one so they still have that access to the ones I don't want them to have because it's part of the "All" that I cannot get rid of.
It seems it should be customizable and removable but I guess not from what I'm finding through all this. Even adding customs just adds that custom with the All since I cannot remove it from any user, group, etc so the custom just adds more to the existing, not replacing it.
