How can I remove an insurance for a specific patient within their registration? We have several patients who unfortunately had duplicates of insurance pushed to CPS through the interface with our billing system. So every time a patient registers for a visit it is marking EVERY one of those insurances. Registration then has to go and uncheck all but one of them. One of our patients has 115 counts of the same insurance in his registration profile!!!! No one has time to uncheck all of those when the patient presents for an appt. So unfortunately our clinic is unable to rely on what is documented in GE for patient insurance and has to refer to our separate billing system. I would like to remove the duplicates but it gives the message that it is “referenced by other records in the system and cannot be removed”. It states that I can make it inactive but I assume an insurance is made inactive by unchecking the box next to it in registration. But the next time the patient presents for an appt it recognizes all of those insurances as the same and checks them all again. HELP please!!
This sounds like one of those problems that was not detected or addressed when the demographic interface was first set up, and now it has resulted in a big mess.
First, if you don't have the interface fixed, get it fixed or this will keep happening. I ran into this with an inbound demographic MIK interface. Unfortunately I don't recall what I had to do to the MIK config to fix it.
Once the interface is fixed, the corruption will cease, but the records that are already corrupt will have to be fixed by hand. I'd be afraid to make any changes to the database directly myself. There are a lot of interdependencies between various tables. Someone that is more comfortable manipulating the database may disagree with me.
I might start by finding all of the duplicates and deactivate all but one of each.
You might consider adjusting the front check-in workflow to add an insurance verification step perhaps until the majority of the problem is resolved.
