We are looking to see if there is any software available that will look for PDFs in a folder on a server, automatically scan and match the document to a patients chart in the EMR. Right now our medical records staff uses DocuTrak to import everything into the patient chart.

Would you guys happen to know how much it was to implement that software? How much user interaction is needed?
That sort of capability needs to 100% accurate. I'll wait a couple of more years 🙂
I'm assuming you are having issues with the volume of scanning that's being done. Some things to consider if you are going to stick with Docutrak and want to save some time.
Get a high class industrial type scanner that's capable of reading barcode seperator pages.
Purchase software that will recognize the barcode seperater pages and dump the output into that folder docutrak is monitoring.
Cost is per document that you index, I don't know off the top of my head. Getting started was pretty quick, it basically works like docutrak at first and then you have a staff member or two "teach" it how to read and index certain document types. After awhile the ones it knows do not require any user interaction at all, some documents it will find the patient and date of service but needs to know the document type or something like that. The percentage of documents auto-indexed without any user intervention at all will depend on a few things, most importantly, 1) That you have someone competent to "teach" it how to read documents and they really buy into the product and use it to its fullest capability, and 2) How many external sources you get documents from, the fewer regular sources the higher your percentage will be. I have a custom application that looks at the file name of the PDF, beginning or end and if it is the PatientID in centricity, it will then import them with 1 click on a button, if a match is found. I have one office using it, and it saves them a bunch of time.
Interesting. I'm curious though. When it reaches the chart, does a user go in and change the document type / summary.
No, you set that up in the document type you want it to import as in the application, and the summary would be "Records Imported", which can be changed by the user if needed.
and since i made this application, if you need it to be something different, i can make those changes for you.
+1 for InDxLogic. We've been using it for a couple of years and have had good success with it. It does cost per document but is a no brainer compared to staff time.
