We were wondering how other practices are handling patient requests to restrict certain information from their health plans. If a patient self-pays for a visit and requests that all information from that visit be restricted, how can we identify this information in the EMR?
We are looking at different options like creating a new document type or marking the chart as sensitive, but separating information that has been updated in the chart during a restricted visit will be difficult.
We held several lengthy discussions regarding this topic with our Medical Association. They were great about answering our questions and providing suggestions.
I have included our policy to the staff below for your review, but we also made changes in CPS.
1. We did create an Encounter, Confidentiality & Appointment Type named Self Pay Restricted
2. The Encounter type is no different from the typical office visit encounter; however, the confidentiality type for the self pay restricted is set to Self Pay restricted. This serves as a visual clue to staff that something is different.
3. We also use Case Management to designate which appointments are restricted.

Thank you for this! We are on Centricity Business so the workflow on that side is a little bit different, but it is the same general idea. I wasn't aware of the Confidential Documents feature in the EMR and this should work well for us.
