We want to start importing our Colonoscopy/Pap/Path reports attached to an OBS term so that they push to the flowsheet. These reports are hand signed by the provider before import. However when we import them that way it is routing to the providers desktop for "review" and placing the following statement on the attachment: “Filed automatically (without signature) on 08/04/2016 at 10:42 AM”
Normally and attachment that is signed before import will have this statement: usual “Signed before import by Dennis Crabb MD Filed automatically on 11/23/2015 at 2:59 PM”.
Our providers obviously do not want to sign a document twice. Is there a way we can get these to import correctly so that the provider does not have to "review" them and so that it does not place a statement on the attachment that makes it appear as though it was "Filed automatically (without signature)"?
I assume you are using the Kryptiq Document Management product.
The way we handle it is to have faxes come into files in indexing client directly and have them indexed into the chart without signature. The provider does not see the document until it is in the patients chart awaiting signature. It is much more difficult to loose something that way and much less paper.
That being said there is a checkbox in the indexing client to import as signed. I just imported a document to a test patient as a colonoscopy using the colonoscopy obs term and it shows Filed automatically (without signature) on 08/23/2016 at 4:11 PM. It does route to the doctor for review but that can be removed by the providers desktop without signing it. I think the same thing happens with anything imported under a doctors name, it lets them know that you signed their name on the document.
We are using Kryptiq. I just imported a document unsigned (attached to the OBS term) and when I signed it with our test provider it still puts the message "Filed automatically (without signature)...." followed by the providers normal electronic signature. It appears that it is letting the provider sign the attachment but for the OBS term it is "Filed automatically...". Did this happen to you as well?
We suspect it may be happening be because the ID it is importing under is recognizing it as a lab. Any idea how to get it to recognize the OBS term as a regular external document? We thought maybe it was due to the CPT code attached to that OBS term. So we removed that code from our configuration file since we will never have a lab value push for Colonoscopy.
Hope I am explaining this well enough so that it makes sense....
If I am understanding the problem, we are experiencing the same issue and have a case open with GE. GE has not been able to identify the root cause yet. Additionally, we have been bounced between two groups. I believe sometime this week or next week have a call setup with both the groups to review this problem.
I think that the answer to your question is about not routing to the provider is going to be no. Both LLogic and Jboss route to the provider when you import documents as signed.
It does seem like the wording on the import is a bug. I am wondering how long that bug has been there. If you do not include the obs value but leave everything else the same is the bug still there?
We have always been able to import a document as "Signed before Import" and it does not give us the message about "Filed automatically (without signature....". Nor does it route it to the providers desktop. We have just run in to this issue as we are trying to attach an OBS term to link to the document.
My apologies, you are correct. I must have always tested this with OBS values.
We created an ID called "*Backload", any documents that are imported as signed have the provider set to *Backload when importing. We implemented it as a workaround to the routing issue, but it actually works out well for us, we can tell at a glance which documents have a "wet" signature vs. documents that require an EMR signature. I clear off the *Backload desktop once a month.
If I understand correctly, it would then list *Backload as the responsible provider in the document view in a patients chart?
Yes. The indexer adds the provider's name to the document summary during import.
Ok. We are wanting the signing providers name to still be listed in the summary so for now we are going to have the person importing manually clean these from the providers desktop. Thank you for the idea though!
