Good Morning CHUG,
I was wondering what others do for imported records? Being a specialty, we get a ton of faxed records. We have some docs that want those records to come in as signed and then they review when the patient comes in. We have another subset of docs that want the records to come in as unsigned because they feel they need to review and sign them, however they don't want them to show up on their desktops until 2 days before the patient's visit. We have a dummy desktop created with a ton of unsigned documents that just hang out until the patient is "ready" and can be routed to the doctor to sign. The problem is that in just 2 weeks, we have over 500+ unsigned documents on this desktop.
I am reaching out because we can't be the only ones dealing with this issue. What is your clinic workflow? Any thoughts appreciated!

Waiting till 2 days before an appointment is a logistical nightmare.
Documents get routed/signed as they arrive.
We designated which documents needed a final signature by an MD for us that meant lab, imaging, and consults they are soft signed by the nurse and routed to the physician for final signature. All other documents are signed by the nurse and available for review at the patient appt. The nurse can/will route other document types if she feels it is indicated.

"Logistical nightmare" - yep, that would describe it! Thanks for the response, we are meeting next week to discuss options and getting our group to hopefully become uniform with the decision. If any others have what they do, I would greatly appreciate it!
Being multi-specialty it's not easy to have everyone agree on a workflow but if you can it helps. One thing that helped us was to create a user of "Courtesy Copy", any referral documents get scanned in under this user as singed. FYI this is not used for any internal documents/results that need to be reviewed and resulted . Physicians can review these in the patients chart at any time, they can co-sign to show they reviewed the notes (optional). This prevents having a bunch of unsigned documents.
