Input please: Survey for Kryptiq portal PIN versus Add from Chart
1. What is your opinion of using the “Add from Chart” method which gives patient’s a temporary password and portal access versus issuing PIN numbers for patients to go to the portal to verify their identity?
2. Are you using one method over the other or both?
3. If using the add from chart, how does this update in your EMR banner?
4. How are you keeping it straight who’s been given portal access and which patients have actually logged in?
Just looking for opinions at this point.
We are a clinic that was using the PIN process and then switched to the Add from Chart process once it was available. There were several reasons for the switch, but the main reason was that the PIN process was confusing for patients and was actually generating a great amount of phone calls. Once the Add from Chart process was released, we switched over to this process exclusively and phone calls have drastically been reduced - although not eliminated.
Since the add from chart method generates a temporary password, we use this to determine whether or not the patient has been given access. Once we give the temporary password to the patient, we copy and paste the temp password into the appointment notes section of the registration. If the patient was an established patient, previously issued a PIN but did not use it, we ask 2 pieces of identifying information and follow the same add from chart method but rather we edit the patient's portal account and assign a temporary password such as Password1.
Once we started using the add from chart process, I did have to change our patient banner to show the portal access a little differently. Our banner now says Portal Access: with an answer of yes or no. If the patient has completed the Method of Contact form on the portal, the banner shows Portal Access: Yes. If not, the banner shows No.

This is a great response. Thank you. How do you ensure patients fill out the contact method on the portal? Is it obvious or do you have issues with them not filling out the form?
In the email that is sent to the patient once we add from chart, a link is given which directs the patient to our form set. Method of contact form is the first form the patient completes. We have not had any that have been skipped. So far the staff and patients seem much happier with the Add from Chart workflow.

I'd also be appriciative if you would share your staff workflow when you "add from chart"? I'm looking to see if it is the same amount of work or any more cumbersome that issuing a PIN and printing a letter.

I apologize - I thought I had posted both the workflow and the screen shot within the forum, but I guess not. Here they both are:
Our workflow is as follows:
For New Patients:
- Patient is registered in CPS using the mini – reg process and appointment is made.
Note: the mini-reg process does not ask for an email address – that is okay – when it is entered on the portal side, the email address will be pushed to the patient’s registration.
2. Staff logs into the portal(they usually log in first thing in the morning and stay on the page all day. They do have to re-log in when the page times out) and selects the “Add from Chart” button
3. Patient is selected from the list of patients
4. Create new portal account option is selected
5. Staff is required to enter patient’s email address twice
6. Temporary password is generated – staff gives to patient and copies to the patient’s registration.
7. The email below is sent to the patient’s
Step 6 - when you say that staff will give patient temporary password and copies it to the patient's registration, where in Registration are you putting it? In the Additional tab - Patient Notes?
Staff is putting the temporary password in the appointment notes section at the top left of the appointment tab.
Hi there! How are you getting your "Portal Access" over to the EMR Banner?
We are using observation terms populated via the Method of contact form in the portal. When patient's complete the form, which we direct them to, the obs term is populate. We use the MEL Code to pull this into the banner:
Portal Access: {if (LAST_SIGNED_OBS_VALUE("METHCONTACT") <> "") then "Yes" else "No" endif}
