Greetings CHUG world!
We have been collecting data for sexual orientation and gender preference and uploading information into the CHC Registration for UDS reporting however, we are wondering how other facilities are getting this information to the providers?
> Is your clinical support staff trained to access the CHC tab for review?
> Do you include in on health history forms and just update it in the patient history intake?
> Do you use an OBS TERM to be able to track from the chart side as well?
> Do you leave it up to the provider's to ask questions and document via text as they feel necessary?
Thank you in advance for some workflow ideas -- looking forward to your responses!
We paid Visualutions for a solution, where they created a bidirectional interface from the CHC Registration into Observation terms. We use these Obs Terms as display in the Patient Banner and we also use them on certain forms. So the front desk personnel can enter the initial information into CHC, which is usually accurate, but not always. For example a patient may be embarrassed or upset that we have those questions on our paperwork, but are more willing to speak to their doctor about it in private. In this case the provider can update the SOGI information in the form and it updates the CHC Registration and the Patient Banner.
Wonderful! Thank you very much!! I will bring this information to my leadership team. Would you mind sharing what the exact information is to ask Visualutions for? I'd be interested in calling them for a quote 🙂
When we asked for the initial information, this was their response:
We can provide a couple of different solutions to you. The simplest and least expensive solution would consist of installing some special SQL to translate the SOGI data to OBS terms. They would be considered read-only from the EMR in this scenario. We would just quote for the time that it take us to install and configure the scripts. This typically takes about 5-6 hours to complete. If you wanted this feed to be bi-directional it would take longer.
The Quote we got was worded like this:
Item # 4-02-150-INT
INTERFACES
UDS OBS Integration Interface per attached SOW (per database)
Statement of work:
Visualutions will create a mapping table to track which fields are being moved from CHC to EMR.
Visualutions will pre-populate EMR mappings using the default information identified for each field in this document.
Visualutions will install triggers on key database tables to track when related data is altered, triggering an update across the interface. (cusCRIInterview and OBS)
Visualutions will create a new document type (Abbreviation: OBSFromPM, Description: OBS Terms from PM)
Visualutions will generate a patient document for each patient that has related data points covered by this interface.
Visualutions will perform an initial synchronization of data
Interface Synchronization
Once the interface has been installed into the database, Visualutions will perform a full synchronization between the PM and EMR. This process will generate a new patient document for each patient that has related data stored in the CHC tables. New Observations for each data point will be created during this process.
