Does anyone have any good workflows they'd be willing to share for generating the Portal PINs and getting the PIN letters to the patients at the time of visit? Currently, we are doing a lot of mailing of the PIN letters. This solution is costing us in both manpower and postage. Surely, there must be an easier way. Any and all ideas are welcome.

Hi Rebecca, I'm sure others will have much to contribute to help you out. I've found it most effective to issue the PIN at check-in and hand the patient the letter with instructions during the visit. Or, have patient assistance in the waiting room to get patient's signed up and into the portal. Portal promotion should come from all points during the visit. Specifically, clinical staff (especially providers) are most effective in "selling" the portal as a convenient tool to get rx refills, lab results, send messages, etc. Kryptiq also now has the "Add from Chart" method so you can bypass the PIN and get the patient signed up during the office visit. When we first began with Kryptiq we used the PIN process; however, once the Add from Chart feature was added, we stopped using the PIN. The PIN process created numerous problems and countless calls from our patients. I would recommend taking a look at the Add from Chart functionality before making any final decisions. Of course, you can always switch like we did - although this was a little troublesome for those patients who had a PIN generated but had not used it yet.
We have our appointment schedulers complete the add from chart process at the time the patient makes their appointment. We do this for both new and established patients; however, we do ask established patients to verify 2 pieces of random information before giving them access.

If you log into the Patient Portal, click on 'Admin', you should be automatically on the 'Accounts' page. The 'Add from chart' button is on the top right.
