Hi CHUG bugs,
I am making a reference guide for all of us users and I would like some input. The reference guide is sort of a "CPS housekeeping guide". I would like to list tasks that will help keep our Centricity running smooth. I have compiled a starter list for daily, weekly, monthly, quarterly, and yearly checklist items.
Rather than clogging up the post, will you please email me directly and I will post the final version on this site when finished? [email protected]
Here is what I have so far if you would like to shoot me an email with items you think should be included or if you think the items should be moved around in the list.
Daily:
Resolve any unapplied funds
Close batches
Run daily reports (What reports do you run?)
Take care of No-Show appointments on the schedule
Retrieve billing charges
File Insurance Claims
Weekly:
Send patient statements
Monthly:
Resolve any unapplied funds
Run monthly reports (What reports do you run?)
Hard close
Quarterly:
If you do not close monthly, at least hard close quarterly.
Review Medication, Allergy, Problem, Orders custom lists and clean up
Security audit
EMR Knowledge Base Updates – Read release notes
Check GE Website for service pack updates
Check to see if the plug-ins are up to date
Yearly:
Update fee schedules
Security audit if not done quarterly
Clean up schedule templates and appointment types
I'd add something about checking the LinkLogic errors daily (or we do it twice daily)
Reports: we check for old (over 30 days?) unsigned documents by provider (custom Crystal Report)
Oh, and I meant to add a note that while I see your request to email you directly, I didn't think you wanted emails from 100 different people that all said "LinkLogic" and nothing else 😉
You are right! I appreciate that and also the items to add to the list. Thank you!
Hi Angela,
I would incorporate an E&M evaluation by provider comparrison. Inhouse and geographuc peer evaluation. I have been finding several offices are getting questioned due to the coding indescrepancies for there specialty compared to other providers in the same area. Plus some are just grossly undercoding and losing lots of money for the services they are providing. I will send you the report to view.
I also suggest running a report against your schedule to catch any claims sitting in AR.
I think your proactive list is really great!
Shelby
Perhaps running an ‘Unsigned’ documents report, help those responsible keep their desktops clean
Perhpas also adding in daily/weekly audits of desktop items and flags, bucket checks, orders reports, any interface management or updates, MU report checking...
Great suggestions, here is a link to a reference guide I am keeping up to date: CPS Housekeeping Reference Guide
Awesome Job! Thank You!

You're very welcome. Here is an updated list. I jot things on it as people have suggested, or I think of them or run accross them at various offices. Updated Feb 8 CPS Checklist
