We need to make some modifications to our dental Superbill. Is there an easy way to do that or do we need someone with Crystal Reports & knowledge in that program? It has been years since we've had to modify one of these and I really don't recall how we did that. Thank you.
Below is from my notes doing this in the past. I have always used a JPG of the sheet though. Years ago I tried with a spreadsheet but I don't think I ever got it to appear.
The following is the process for creating Encounter Forms using the Embedded Crystal Reports version:
- Open an Excel Spreadsheet
- Create the columns that you need in the spreadsheet to match your existing Encounter Form (Superbill)
- Enter your codes and their descriptions onto the spreadsheet, as they appear on your existing Encounter Form (Superbill)
- Save the Spreadsheet with an identifying name
- Go to Administration > Reports > Business Report Criteria > Superbill
- Select the encounter to modify
- Select Layout (layout is only available on a database licensed for Crystal Embedded Designer. See workaround info below).
- You will be prompted for an Appointment ID - enter any number there
- The following message should then display "DB is up to date"
- Click "OK"
- The standard Crystal Reports Encounter form will then display (you would have previously decided to use the form with demographic information displaying at the top, or at the bottom of the form)
- On the left, barely visible, will be a left pane that is almost hidden. Widen the left pane.
- Right click in the left pane and select "Insert"
- Select "OLE Object." An "Insert Object" box will display
- Select "Create from File" (note: this can also be done with a JPG)
- Browse for the Excel spreadsheet (or JPG) that you created for this Encounter Form; Select it and click on "OK"
- Size the form to fit in the Crystal Report
- Save it
- View the Superbill to see how it looks and if any changes are needed, make them, save the form and you are good to go.
If you don't have a license for the Crystal Embedded Designer from GE/Athena, the fine folks at SAP offer a free lite version of Crystal for the Eclipse IDE, according to my notes.

Yes - you will need Crystal Reports access in order to update superbills or patient profiles...not a cheap license either 🙁 If you have support through a VAR, they may be nice enough to make some small changes for you.
Thank you for your replies! I discovered we have a Crystal Reports license so I'm able to modify it now that we pointed the license to a computer I had access to. It opens in a very easy-to-edit format so I think that should work! Thanks again!
